1. Our Commitment to Your Privacy

At Go With That Therapy, your privacy, confidentiality and trust are important.

Go With That Therapy is an independent counselling practice operated by Bonnie Brown, an Accredited Mental Health Social Worker providing online counselling and EMDR therapy across Australia.

We are committed to handling your personal and health information with care, respect and confidentiality.

This Privacy Policy explains how we collect, use, store and protect information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and applicable state and territory health privacy legislation, including the Health Records Act 2001 (Vic).

2. Information We Collect

To provide safe and appropriate counselling services, we may collect personal and sensitive information, including:

  • Your name, date of birth, contact details and identifying information.

  • Relevant medical, mental health, family and personal history.

  • Information about your wellbeing, circumstances and therapeutic goals.

  • Referral information, Mental Health Treatment Plans and relevant healthcare correspondence.

  • Assessment information, clinical notes, transcripts and treatment records.

  • Medicare details, invoices and payment information.

  • Communications between you and Go With That Therapy.

Information is generally collected directly from you through website enquiries, intake forms, appointments and correspondence.

With your consent, or where otherwise permitted by law, we may also collect relevant information from your GP, other healthcare providers or referral sources.

You may make an initial enquiry without providing detailed health information. However, some personal information is necessary to determine the suitability of services and provide appropriate clinical care.

3. How We Use Your Information

Your information is collected and used for purposes relating to the provision and administration of counselling services, including:

  • Responding to enquiries and managing appointments.

  • Providing counselling, EMDR therapy and clinical assessment.

  • Developing and reviewing treatment plans.

  • Preparing and maintaining clinical notes and treatment records.

  • Communicating about appointments, referrals and ongoing care.

  • Processing payments, invoices and Medicare-related documentation.

  • Coordinating care with other healthcare professionals where appropriate.

  • Meeting professional, ethical, legal and recordkeeping obligations.

Client health information is not used to create targeted advertising audiences.

4. Confidentiality and Disclosure

Information shared during therapy is treated confidentially and handled in accordance with professional, ethical and legal obligations.

Personal and health information will not ordinarily be disclosed to other healthcare providers, family members or third parties without your consent, unless disclosure is otherwise authorised or required by law.

There are circumstances in which confidentiality may be limited, including:

  • Where disclosure is required by a court order or other lawful process.

  • Where mandatory reporting or child protection obligations apply.

  • Where disclosure is necessary to address a serious threat to life, health or safety, in accordance with applicable law.

  • Where disclosure is otherwise required or authorised by legislation.

Relevant clinical matters may also be discussed in professional supervision or consultation, with appropriate confidentiality and privacy safeguards.

When working with children and young people, privacy and confidentiality are considered in accordance with their capacity, applicable legislation and professional obligations.

The limits of confidentiality are also explained during the informed consent process.

5. Appointment Booking and Clinical Records — Zanda

Go With That Therapy uses Zanda, a healthcare practice management platform, to manage appointments, client information and clinical records.

Information managed through Zanda may include:

  • Appointment bookings and reminders.

  • Client contact and identifying information.

  • Intake and consent forms.

  • Clinical notes, assessments and treatment records.

  • Invoices, payment records and Medicare-related information.

  • Relevant administrative communications.

Zanda states that Australian practice accounts use Australian-based data hosting for primary practice information and applies security measures including encryption and access controls.

Certain authorised support activities and integrations may involve information being accessed or processed through other service providers or overseas locations.

Information held through Zanda is managed in accordance with applicable privacy obligations and the provider's data security arrangements.

Further information is available at www.zandahealth.com.

6. Payments and Billing — Stripe

Go With That Therapy uses Stripe, integrated with Zanda, to securely process online payments, including appointment deposits and session fees.

When making a payment, information such as your name, contact details, payment amount and card information may be processed by Stripe.

Full payment card details are handled by Stripe rather than stored directly in Go With That Therapy's clinical records.

Zanda may retain limited payment information, such as card type, expiry date and the last four digits of a card, to support payment administration.

Where payment card details are saved for future transactions, this is managed through the Stripe integration and applicable payment settings.

Stripe operates internationally and may process payment information in overseas jurisdictions.

Further information is available in Stripe's privacy policy at www.stripe.com/au/privacy.

7. AI-Assisted Clinical Documentation — Heidi Health

Go With That Therapy may use Heidi Health, an AI-assisted clinical documentation platform, to support the preparation of clinical notes and treatment records.

Heidi Health uses artificial intelligence to process consultation information and generate draft clinical documentation. This may involve real-time transcription of information discussed during appointments.

The purpose of this technology is to support accurate and efficient clinical recordkeeping, allowing greater attention to be directed towards the therapeutic interaction.

Before Heidi Health is used during your appointment, its purpose will be explained and your consent sought.

You may decline AI-assisted transcription or documentation, in which case clinical notes can be prepared using alternative methods.

Heidi Health states that:

  • Routine live transcription does not retain audio recordings.

  • Transcripts and generated notes may be retained according to the clinician's account settings and the functionality used.

  • Consultation information is protected using encryption and other security measures.

  • Patient consultation information is not used to train its AI models.

  • Regional data-hosting arrangements are available for Australian users.

AI-generated notes are reviewed and edited by the treating clinician as appropriate before being incorporated into clinical records.

The clinician remains responsible for clinical decision-making, documentation and the care provided.

Further information is available at www.heidihealth.com.

8. Online Counselling and Electronic Communication

Go With That Therapy provides counselling and EMDR therapy through online platforms.

Electronic services, including video consultations, emails, appointment reminders and online forms, rely on third-party technology providers.

We take reasonable steps to use appropriate systems for communicating and managing information.

However, electronic communication involves some inherent privacy and security risks.

Clients are encouraged to avoid providing highly sensitive health information through ordinary email where secure alternatives are available.

Therapy sessions are not recorded for playback without appropriate consent.

9. Storage, Security and Overseas Processing

Go With That Therapy uses professional digital systems to support the secure administration and delivery of services.

These include:

  • Zanda: Practice management, bookings, forms and clinical records.

  • Stripe: Payment processing.

  • Heidi Health: AI-assisted clinical documentation.

  • Google Workspace: Professional email and administrative communications.

  • Wix: Website hosting and online enquiries.

We take reasonable steps to protect information against misuse, interference, loss and unauthorised access, modification or disclosure.

These measures include appropriate account security, access controls and the use of service providers with documented security arrangements.

Some technology providers may store, process or permit access to information outside Australia, including in the United States and other jurisdictions in which they or their service providers operate.

Zanda and Heidi Health publish information about Australian data-hosting arrangements, although international processing or access may still occur in certain circumstances.

Where overseas disclosures occur, we take reasonable steps to meet applicable Australian privacy requirements.

No internet-based system can be guaranteed to be completely secure.

10. Website Cookies and Analytics

Our website is hosted by Wix and uses cookies and related technologies necessary for website functionality and security.

Additional analytics or advertising measurement technologies may be used where enabled.

These technologies may collect website usage information, such as browser type, device information, IP address and website interactions.

Information provided through clinical intake, assessment and treatment processes is not intentionally shared with advertising platforms for personalised health advertising.

Visitors can manage certain cookies through their browser settings or available website cookie controls.

11. Accessing and Correcting Your Information

You may request access to the personal or health information held about you and request corrections where information is inaccurate, incomplete or outdated.

Requests can be made by contacting Go With That Therapy.

Identity verification may be required before information is provided.

Requests will be considered in accordance with applicable privacy legislation. In some circumstances, access may be limited or refused where legally permitted.

If a requested correction cannot be made, you may be able to request that a statement outlining your concerns be attached to the relevant record.

12. Retention of Clinical Records

Clinical records are retained in accordance with applicable legal and professional requirements.

Under Victorian health records legislation, private health service providers are generally required to retain records for at least seven years following the last provision of a health service to an adult.

For a person who received their last health service while under 18, records must generally be retained until the person reaches 25 years of age, subject to any applicable longer retention requirements.

Records may be securely deleted or de-identified when no longer required and where permitted by law.

Temporary transcripts or other information held through third-party clinical documentation systems may be subject to separate retention settings and arrangements.

13. Privacy Concerns and Complaints

If you have questions or concerns about the handling of your personal or health information, please contact Go With That Therapy directly.

Privacy concerns will be treated seriously and addressed within a reasonable timeframe.

We aim to provide a substantive response within 30 days where reasonably possible.

If a concern cannot be resolved directly, you may contact the relevant privacy or health complaints authority, including:
